Milk supplier ledger: keep farmer dues clear every period

A milk supplier ledger is the account each farmer (or member) has with your society, centre, or plant. When it is messy, settlement day turns into arguments.

What belongs in a good ledger

For every billing window (often a 10-day cycle), you need:

  • Litres collected (cow / buffalo if you split rates)
  • FAT / SNF based amount from your chart
  • Advances or deductions, if you track them
  • Opening / closing dues
  • Paid vs unpaid status

If any of this lives only in a notebook, the secretary and the collection desk will disagree.

Why Excel copies fail

  • Two staff edit different files
  • Period totals get overwritten
  • Hard to share a clear bill with the supplier

Software checklist

  1. One supplier master (code, village, milk type)
  2. Daily entries that post into the same ledger
  3. Period close for 1-10, 11-20, 21-end
  4. Print or share a bill the farmer understands
  5. Mark paid when cash or UPI settles

Doodh Master keeps collection, ledger, and period billing in one dairy account - web for the office, Windows when the centre is offline.
